The member data collection (MDC) process officially begins on December 16, 2019. To save you time during the process, there are a number of things you can do to prepare. Here is your checklist of activities to complete before you formally start your MDC:
Complete the activities below before you start your MDC.
Remittances
Report all retroactive contributions based on retroactive payments made in 2019.
Report all previous year adjustments affecting the 2019 reporting year.
These contributions form part of the 2019 pension adjustments (PA), and the information is required to ensure their accuracy.
In addition, as part of your year-end process please ensure that you:
Submit payments for any outstanding amounts owed to HOOPP.
Apply all outstanding credits to your upcoming remittance declaration.
Note: Credits do not get applied automatically.
Member Events
Report all 2019 terminations and retirements.
Note: These members do not need to be provided again through MDC, however, they will show up on the MDC Missing Members Report if they have not been reported to us.
Report all 2019 enrolments.
Member Information Update
Update all leaves of absences, including any changes for members on health leave.
Report any employment status changes where members have changed between full-time and part-time.
Review your records and confirm any part-time members who took and paid for a leave of absence during 2019. You will have to report their contributory service to HOOPP during MDC and having this information available will help support the process.
Other Information Updates
We may reach out to you before the MDC process begins to request information for some members who were on long term disability (LTD) during 2019. If you receive this request, please ensure this information is provided by the requested due date.
Receiving this information early means you won’t have to provide the information again during the MDC, and you will be able to retrieve those PAs well in advance of your T4 deadline.
