The secure mailbox allows administrators to communicate confidential member information directly to HOOPP in a secure manner and vice versa. Because this is a secure form of communication, you may choose to include a member’s confidential information.
The secure mailbox can be used for topics such as:
General Request
Enrolment
Retirement
Termination
Pre-Retirement Death
Remittance
Data Collection
Disability
SOA
MDC
New messages will appear on the HOOPP Insight Dashboard in the Secure Messages tile. From the secure messages area you can create, view and reply to messages including attaching multiple files (up to a 10 MB file size) to those messages as needed. Messages can also be archived and retrieved for viewing at a later time.
Using the Secure Mailbox
The following are step-by-step instructions on how to use the Secure Mail feature. Follow the steps below and refer to the corresponding screenshots provided in each section.
Create a New Message
After logging into HOOPP Insight you will land on the Dashboard home page.
From the Secure Messages tile, select Create new message.
Select a topic from the drop-down list:
General Request
Retirement
Termination
Remittance
Data Collection
Disability
SOA
MDC
Enter a Subject line and message details. You may also attach a file to the message.
Select Submit to send the message to HOOPP.
From the Secure Messages listing you can view messages sent to HOOPP under the Sent Items tab.
Reply to a Message
The Secure Messages tile will display all unread messages.
The number of unread messages will appear in a green circle.
Click on a message to read or reply to the message.
Click View All to see a full list of messages.
From the Secure Messages inbox, select a message to see a summary on the right.
Select View/Reply to reply to the message.
Review the message and provide a response. You may also attach a file to the response.
Select Submit to send the message to HOOPP.
From the Secure Messages listing you can view messages sent to HOOPP under the Sent Items tab.
