The member data collection (MDC) process officially begins on December 14, 2020. To save you time during the process, there are a number of things you can do to prepare. Here is your checklist of activities to complete before you formally start your MDC:

Report any employment status changes where members have changed between full and part-time.

Complete the activities below before you start your MDC.
Remittances
 

Report all retroactive contributions based on retroactive payments that were paid to your HOOPP members in 2021. 

  • These contributions form part of the 2021 pension adjustments (PA), and the information is required to ensure their accuracy. 



Report all previous year adjustments.

 

In addition, as part of your year-end process please ensure that you: 

  • Submit payments for any outstanding amounts owed to HOOPP. 
  • Apply all outstanding credits to your upcoming remittance declaration.  

Note: Credits do not get applied automatically. 

  Member events


Report all 2021 terminations and retirements. 

Note: These members do not need to be provided again through MDC; however, they will show up on the MDC Missing Members Report if they have not been reported to us. 

 
Report all 2021 enrolments.
  Member information update
 

Prepare a list of members who were on unpaid health and emergency leaves during 2021.   

During the two Ontario state of emergency periods in 2021, HOOPP provided contributory service for eligible members who were on unpaid emergency leaves. Prepare the data for these members now and be sure to submit the information to HOOPP as early as possible during the MDC process and no later than January 31 (this will help avoid any delays in your T4 reporting processes). HOOPP will then review the list and determine eligibility for free contributory service during the emergency periods. 



Update all member leaves of absence including any changes for members on a health leave. 



Report any employment status changes where members have changed between full and part-time. 

Review your records and confirm any part-time members who made HOOPP contributions during a leave of absence in 2021. You will have to report their contributory service to HOOPP during MDC and having this information available will help support the process.
